Privacy Policy and Personal Data Protection

The administrator of the personal data is HELP BAG Ltd., 12 Sadowa St., 43-100 Tychy, Poland, NIP 6462998881, REGON 523157283, KRS 0000992798, e-mail: hello@helpbag.eu. The company has not appointed a Data Protection Officer.

Purpose and Legal Basis for Data Processing

Personal data is processed for:

  • order fulfillment,
  • user account management,
  • customer communication,
  • handling complaints and returns,
  • marketing and analytical purposes.

Legal Bases for Data Processing:

  • Art. 6(1)(b) GDPR – performance of a contract,
  • Article 6(1)(c) RODO - legal obligations (accounting),
  • Art. 6(1)(f) GDPR – legitimate interest (communication, pursuit of claims, protection against misuse),
  • Article 6(1)(a) RODO - consent (marketing, cookies, analytical and advertising tools requiring consent).

Scope of Data Processed

  • full name,
  • email address,
  • phone number,
  • shipping and billing address,
  • invoice details, including tax ID number (NIP),
  • order history,
  • technical data (IP address, cookie IDs, browser and device data),
  • communication-related data.

Data Sources

  • directly from the user (order and contact forms),
  • the controller's sales systems,
  • marketplace platforms (if the purchase was made through them).

Data Recipients

  • courier and logistics companies,
  • payment processors,
  • accounting firm,
  • IT service providers, hosting, email, and analytical and advertising tool providers,
  • sales platforms.

Data may be transferred outside the European Economic Area, including to the U.S., using appropriate mechanisms to legalize the transfer (SCC or EU-US Data Privacy Framework, if the provider uses it).

Data Retention Period

  • data related to procurement and accounting records - up to 6 years,
  • user account data – for the duration of account activity and the period required to settle any claims after account deletion,
  • marketing data – until consent is withdrawn or an objection is raised,
  • data related to communications - for the period necessary to handle the case and secure claims.

User Rights

You are entitled to:

  • the right to access your data,
  • the right to rectify your data,
  • the right to erasure,
  • the right to restrict processing,
  • the right to data portability,
  • the right to object,
  • the right to withdraw consent at any time.

Exercise of rights shall take place no later than 30 days after receipt of the request. Requests should be addressed to: hello@helpbag.eu.

You also have the right to file a complaint with the President of the Personal Data Protection Office.

As part of our analytical and marketing cookies, we use Google Analytics 4 and Google Ads (Google Ireland Ltd.), Meta Pixel / Conversions API (Meta Platforms Ireland Ltd.), and Microsoft Clarity (Microsoft Ireland Operations Ltd. — click maps and session recordings; form contents and page text are masked before saving, and recordings are retained for approximately 30 days). These tools operate only after consent has been given, and their providers may process data outside the EEA on the basis of Standard Contractual Clauses (SCCs) or the EU–US Data Privacy Framework.
